Transportation Coordinator

Chinook’s Edge School Division (CESD) invites applications from qualified individuals for the position of full-time Transportation Coordinator commencing April 1, 2022. The Transportation Coordinator will provide safe transportation for students in kindergarten to grade 12 while meeting criteria such as legislation, policies, and procedures. Responsible for collaborating with Bus Drivers/Bus Contractors, Bus Aides, School Administrators, Parents, School Districts regarding scheduling, safety concerns and behaviour incidents. This role will provide support to office personnel during dispatch times.  Reporting to the Director of Transportation the Transportation Coordinator will Assist with Alberta Education yearly funding application. Specific duties will include:


Activity A: Bus Route Management and Bus Registration Management (50%)

  • Designing, implementing, and scheduling of computerized bus routing using Versatrans software.
  • Coordinate and administer SchoolEngage software for student bus registrations  and oversee cross jurisdiction/cross boundary and alternate transportation requests.
  • Monitor and maintain the collection of transportation fees.
  • Revision of regular routes to meet operational standards, address safety issues and improve efficiencies.
  • Oversee transfer sites for safety, scheduling and efficiency.
  • Optimize bus routes as directed in order to create cost efficiencies.
  • Prepare reports on routing and route optimization for the Director of Student Transportation.
  • Create and adjust school boundaries as directed.
  • Troubleshoot system malfunctions and liaise between Tech Services and VersaTrans support.
  • Provide data for boundary planning and reviews.
  • Provide reports and data analysis for the Director of Transportation.
  • Complete Versatrans grade advancements and mapping upgrades.
  • Prepare data for the grant funding application.
  • Assist Director of Transportation with Alberta Education yearly funding application.
  • Provide direction on messaging for School Messenger call outs.
  • Interpret changes to legislation that affect Student Transportation.
  • Monitor and liaise with software providers on technical issues.


Activity B: Complaints and Discipline (10%)

  • Assist the Director of Transportation to investigate and resolve parent/guardian/School Administrator concerns.
  • Review data collection and provide information to the Director/School Administration in order to provide appropriate action.
  • Assist the Director of Transportation in the supervision, evaluation and discipline of transportation staff


Activity C: Bus Driver Training and Safety Officer (40%)

  • Participate in meetings with Area Coordinators, School Bus Drivers and/or Bus Contractors.
  • Monitor and maintain Bus Driver personnel files.
  • Organize and oversee instruction of the MELT program to train new bus drivers.
  • Organize and oversee Instruction of the School Bus Driver Improvement Program and refreshers to bus operators and conduct assessment for S-Endorsement certification.
  • Report training and MELT certifications to Alberta Transportation.
  • Orientation of new Bus Drivers.
  • Organize and maintain the CESD Safety Program Manual.
  • Organize and supervise yearly bus evacuation practices at school locations.
  • Provide advice and guidance to Bus Drivers in order to adhere to CESD policies and procedures.
  • Attend bus accident sites and conduct investigations.
  • Review and approve yearly route assessments submitted by Bus Drivers. Complete bus stop safety evaluations. Make requests for signage if necessary to the appropriate authorities.
  • Assessment of school sites for traffic safety concerns in conjunction with CESD Facilities Department, School Administrators and County/City Officials.       
  • Assist Director in bus cancellations. 


Decision Making

  • Make bus route changes in adherence of policy and procedures with consideration to student safety
  • Decide on plan of action for the following instances:
    • Breakdown/Accident (rescue bus, transfer arrangements)
    • Road closures (re-routing)
    • Railway malfunctions (re-routing)
  • Evaluate bus drivers to issue certification of MELT or S-Endorsement training program (road test and pre-trip inspection components)


Physical Demands

  • Some sitting, standing, moving, lifting and bending (or a combination of these movements) and some physical effort required. 
  • Use of headsets due to volume and length of phone calls.


Working Conditions

  • Intense concentration (visual, listening, mental) due to extensive computer work,   receiving/returning many telephone calls 
  • Ability to work in varying weather conditions at school and/or bus stop location sites (ie. Extreme cold, snow, rain, heat, etc.)
  • Must have a dependable vehicle for driving to various school sites and bus stops on a regular basis.
  • Must be able to extend daily working hours due to inclement weather, bus accidents, etc.


Education and Experience

  1. Education:

         i) Degree or Diploma in a related field or equivalent experience

         ii) Class 2 Driver’s License with S-Endorsement condition would be an asset

         iii) Melt Driving Instructor would be an asset

         iv) School Bus Driver Improvement Program Trainer Certification would be an asset

          v) Emergency First Aid Certification would be an asset

   2.  Experience: Five years combined experience in the following.

    1. Student Transportation department
    2. School or business environment
    3. Planning or Logistics
    4. Information technologies

  • Excellent organizational and time management skills
  • Ability to remain calm and act decisively in Emergency situations.
